Individual supervisors whoareresponsible forthegeneration ofoperating, maintenance ortestrecordsandforthehandlingofcorrespondence andreportswillberesponsible fortheserecordsuntiltheyaredelivered totheSiteAdministrative OfficeortheCentralFilesfordisposition.
4.2Recordsheldbyindividual supervisors andtheSiteAdministrative Officeshallbeindexedandorganized foreaseofretrieval.
Indexesshalllisttherecordtypeandstatewheretherecordmaybefound.Correspondence andreportsinproduction neednotbeindexed.Themasterindexingsystemmaintained byCentralFilesshallprovidekeyinformation onallrecordtypesincluding thelocationbyrecordtypeofallindexesmaintained byindividual supervisors ortheAdministrative Office.Responsibility formaintenance oftheCentzalFilesisdelegated totheSuperintendent RecordsManagement.

5.0 DOCUMENTRETRIEVAL
ANDSTORAGESYSTEM5.1Thedocumentretrieval andstoragesystemisacomputeraidedsystemsupported by16and35millimeter micrographs.
Thesystemisavailable forgeneraluse,bystationpersonnel, twenty-four hoursadayatanyoneofseveralremotelocations referredtoasSatellite Files.Thesystemiscapableofsupporting over100zemoteterminals, andbasically consistsofaminicomputer anddiscdrives,ahighspeedlineprinter,atyper,severallocalandremoteCRT's,microfilm equipment, andmicroform readersandprinters.
5.2Filesforindexingandstorageonmicrofilm areindexedindividually byCentralFilepersonnel usingsome22separateindexingparameters including keywords,whichsubjectively describethedocument's contents.
Whendocuments aredelivered toCentralFiles,theyazefilmedinarandommannerandindividually assignedaninedigitfilmreference numberforretrieval purposes.
Thefirstfivedigitsofthefilmreference numberindicatetherollonwhichthedocumentislocated.Theremaining fourdigitsindicatetheframelocationofthedocumentwithintheroll.Documents whichazeplacedon35millimeter aperturecardsorwhicharemaintained inhardcopyduetotheirnonmicrofilmability areassignedspecially constructed filmreference numberstoindicatetheirlocationandform(i.e.aperturecardorhardcopy).5.3Retrieval ofdocuments maybeaccomplished atanyofthesevezalSatellite Files.Retrieval systemusers'ccessthecomputerbyloggingonwithavalidusernameandpassword.
TheusermaythencalluptheSEEKprogramtofindthedesireditem.Theusermayenterwhateverscantinformation isknownaboutthedesizeddocumentandthecomputerwillsearchitsdatafilestomatchthegiveninformation withindexdatainputtedwhenthedocumentwasentered.intothesystem.Thecomputerwillrespondwithxnumberofhits(i.e.filmreference numbersofdocuments whichhaveindexdatamatchingthegiveninformation).
Theusermaythenobserveallhitstoobtainthecorrectdocumentormayaddordeleteindexinginformation tonarrowdownthenumberofpossibilities.
5.4Whenthehitsareobtainedfromthecomputersearchprocess,theusermayobserveeach-hitbyinserting
.theappropriate cartridge inthereader/printer andkeyinginthedisplayed filmreference number.Thecomputerseazchmayresultinfilmreference numbers(hits)indicating thatthedesireddocumentislocatedonaaperturecardorinhardcopy.TheusermusteitherobtainthedocumentfromCentralFiles(hardcopy)orretrievethedocumentfromtheaperturecardfile.5.5TheSuperintendent RecordsManagement shallissuedetailedinstructions foruseofthisdocumentretrieval andstoragesystem.AI-10.1-3January1966
6.0 PROCEDURES
FORINDIVIDUAL STATIONRECORDGROUPS6.16.1.1Administzative RecordsCorresondenceControlprocedures areoutlinedbytheSuperintendent RecordsManagement inhisDCI-1.Detailsofthisinstruction forcorrespondence controlmaybesubjecttoalteration bytheSuperintendent RecordsManagement inaccordance withexperience generated duringtheuseofthesystem.However,theSecretary totheGenezalSuperintendent orotherspecificindividuals intheSiteAdministrative Officeshallbechargedwithmaintaining amonitozing systemofallrequestsandunresolved itemsoriginating withtheNRCwhichrequireactionozresponsefromthestation.Thisshallincludearecordofrequestsandrespcnses andasystemforreminderandfollowupdirectedtowardindividuals responsible forpreparation ofrespcnses.
Othercorrespondence requiring responseandactionshallalsobecometheresponsibility ofaspecificindividual intheAdministrative Officewhoshallbechargedwiththetrackingofrequestsandrespcnses andtheissuanceofreminders torespcasible individuals.
Correspondence notrequiring aresponseorspecificdisposition according toauthorised procedures, shallbelogged,distributed, andfiledinaccordance withtheinstructions oftheGeneralSuperintendent, StationSuperintendent ortheSupervisor, Administrative Services.
Themechanics ofhandlingthiscorrespondence shallbeinaccordance withiastructions issuedbytheSuperintendent RecordsManagement inhisDCI-1,6.1.2~~RoutineReortswhichareissuedfromthestationatperiod'ic intervals shallbetabulated andmaintained onacontrollistinthesamemannerascorrespondence requiring response.
Oneoftheindividuals chargedwithmonitoring thecorrespondence shallbechargedwithtrackingtheproduction andissueofthesezeports.6.1.3ReulationsCodesandStandards shallbekeptcurrent,however,theSupervisor, Administrative Servicesshallmaintainalistingofallthesedocuments which,althoughtheymayhavebeensuperceded byalateraddition, arestillcurrently applicable totheNineMilePointNuclearStation.Detailedlistingsofindividual regulations, etc.maybecontained intheboundvolumesofdocuments, hence,wheretheseareavailable thesupervisors listingmaybelimitedtothecategories ofdocuments andlocation.
Thedatesandlimitsofapplicability fornewregulations areusuallystatedintheopeningparagraphs oftheregulations.
Usersofthefilesofregulations areadvisedtoconsultthislistingforapplicability ofaparticular regulation.
